
📚 Vendor Terms & Conditions
Welcome to the Family Christian Book Fest — a celebration of Christ, creativity, and community!
By submitting your vendor application and payment, you agree to the following Terms & Conditions. Please read carefully before completing registration.
1. Event Overview
The Family Christian Book Fest will be held on October 10, 10am-4pm at Covenant Presbyterian Church, 2845 Parliament Dr, Colorado Springs, CO 80920.
Our goal is to create a fun, family-friendly environment for readers, writers, and publishers alike.
2. Registration, Payment & Cancellation
- Vendor spaces are limited and confirmed only after leadership aproval and full payment is received.
- Payments are accepted via Stripe or other approved methods listed on the registration form.
- Cancellations: Once a vendor has been approved and has paid, there is no option to obtain a refund. A vendor registration may be transferred however, to another vendor, up until August 31, 2026, pending After August 31st, 2026, no transfers of registration can be made.
- Booth assignments are determined by event organizers for the best overall layout.
3. Booth Space & Setup
- Each vendor will receive the use of one chair and either a 6 foot long table or use of half of a 6 foot long table (depending on their choice at registration).
- Setup time begins at 9:15am and must be completed by 10am.
- Teardown may not begin before 4pm.
- Vendors are responsible for maintaining a clean, professional display and removing all belongings after the event.
- Any damage to the venue or rental materials caused by the vendor will be the vendor’s responsibility.
4. Products & Conduct
- All products or services sold must align with the event’s family-friendly, Christian environment.
- No “Rated-R,” anti-Christian, illegal, or inappropriate content may be displayed or sold.
- Vendors agree to conduct themselves courteously and respectfully toward attendees, staff, and fellow vendors.
- Electricity and any other special requests must be arranged in advance.
5. Sales, Licenses & Taxes
- Vendors are solely responsible for collecting and remitting any required sales tax or business licenses.
- The event does not assume responsibility for the vendor’s compliance with local, state, or federal regulations.
6. Liability & Indemnification
By participating in the event, the vendor acknowledges that they do so at their own risk. The event organizers, venue, staff, and affiliates are not liable for any loss, theft, injury, or damage to persons or property.
Vendors agree to indemnify and hold harmless the Family Christian Book Fest organizers, representatives, volunteers, and affiliates from all claims, damages, or expenses (including attorney’s fees) resulting from the vendor’s participation or actions at the event.
7. Weather & Force Majeure
The event will be held rain or shine unless conditions are deemed unsafe by the organizers. In case of cancellation due to weather, emergencies, or other circumstances beyond control, registration fees may be credited toward a future event at the discretion of the organizers.
8. Media & Promotion
By registering, vendors grant permission for their name, logo, products, and booth photos to be used in programs, event marketing and media coverage (including print, web, and social media) without additional compensation.
9. Privacy
Vendor contact information will only be used for event communications and for correspondence from the host company, WIDGE/Legacy Ventures Intl. LLC, and their partner companies. Vendor contact information will not be shared or sold to third parties, except as required by law.
10. Agreement
By completing the registration form and checking the agreement box on the registration form, you confirm that you have read, understood, and agree to these Terms & Conditions and the Indemnification Clause.
